MP PSARA License Application: Common Mistakes to Avoid
Quick answer: The most common MP PSARA license application mistakes are choosing a duplicate or restricted name, mismatched names and addresses across documents, missing training certificates or MoU, weak guard and office photographs, incorrect affidavits, choosing the wrong district slab, owners unavailable for police verification and slow replies to portal queries. Each is preventable with planning.
Most MP PSARA license application mistakes are not about the law. They are small, practical slips that turn into queries, rework or weeks of waiting. Below are twelve we see regularly, grouped by stage, with the impact of each and how to avoid it.
Stage 1: Planning mistakes
1. Registering the business before checking the name
Founders often incorporate a company or take GST first, then discover the name is already used on the PSARA portal or contains a restricted word. Since 2022, MP does not allow DETECTIVE, INVESTIGATION, SURVEILLANCE, INTELLIGENCE, INTERROGATION, FACILITY or LABOUR SUPPLIER. Fix: check the name on the official PSARA portal (psara.gov.in) first, then register.
2. Adding an owner without checking eligibility
Every partner or director is verified. Someone disqualified under Section 6, for example due to a conviction involving moral turpitude, can hold up the entire application. Fix: confirm each person's background before they join.
3. Picking the district slab casually
The fee is Rs 5,000 for one district, Rs 10,000 for up to five districts and Rs 25,000 for the entire state. Agencies sometimes pick one district and then win a contract in a neighbouring one. Fix: match the area to realistic plans. Our MP PSARA license fees page helps you decide.
Stage 2: Documentation mistakes
4. Mismatched names and addresses
The agency name appears slightly differently on GST, Gumasta and the rent agreement, or an owner's address differs between Aadhaar and the form. Fix: create one master sheet of names, spellings and addresses and check every document against it.
5. Missing or wrong training certificates
A partner or director has not completed training, or the certificate is from an institute not registered with MP PSARA. Fix: arrange training for every required person through a registered institute early. See our PSARA training certificate service.
6. No MoU with a registered training institute
The MoU shows how guards will be trained as Section 10 requires. Without it, the file is incomplete. Fix: sign the MoU before filing.
7. Weak photographs
A guard photo from only one side, a uniform without logo, no ID card visible, or an office photo without a banner. Fix: photograph a real guard in full uniform from four sides with logo and ID card clearly visible; photograph the office outside with the banner and inside as it is used.
8. Outdated or incorrect affidavits
Using an old template, missing Form 3 or Form 7 for a proprietorship, or not getting all directors' affidavits for a company. Fix: use the current MP formats and have every required person sign and notarise.
9. Missing ITRs or expired rent agreement
One owner has not filed returns for a year, or the rent agreement expired last month. Fix: check validity dates and completeness of every document a week before filing.
Stage 3: Filing and follow-up mistakes
10. Using a staff member's phone number on the portal
When that employee leaves, OTPs and alerts go with them. Fix: use an owner-controlled mobile and email.
11. Being unavailable for police verification
A director is travelling, or the office is locked when the police visit. Fix: keep owners reachable and the office open and staffed after submission.
12. Ignoring portal queries
The application waits silently while nobody logs in. Fix: check the portal every few days and reply point by point, then re-submit.
Mistakes at a glance
| Mistake | Typical impact | Prevention |
|---|---|---|
| Name not checked | Re-registration of entity and licenses | Portal check and restricted-word screening first |
| Ineligible owner | Application held up or refused | Background check of every owner |
| Wrong area slab | Cannot serve contracts outside area | Plan districts realistically |
| Mismatched details | Queries and amendments | Master sheet of names and addresses |
| Training or MoU missing | Incomplete file | Arrange early with a registered institute |
| Weak photos | Query and re-upload | Four-side guard photo, banner on office |
| Wrong affidavits | Query and re-execution | Current MP formats, all signatories |
| Expired documents | Query | Validity check before filing |
| Wrong contact details | Missed alerts | Owner-controlled login |
| Unavailable at verification | Delayed report | Owners reachable, office open |
| Slow query replies | File stalls | Regular portal checks |
The costliest mistake of all: starting work before the license is issued. Section 20 provides for a fine of up to Rs 25,000, imprisonment of up to one year, or both. A pending application is not a license.
Mistakes after the license is issued
The list does not end at approval. Agencies sometimes deploy a guard above 65, skip antecedent verification for a rush contract, let ESIC or EPF payments lapse, or forget the renewal date and file within the last 45 days. Each of these undermines the license you worked hard to get. A short monthly compliance review, supported by our yearly compliance service, keeps these risks in check.
A pre-submission review routine
Before paying the fee, run a 30-minute review: open every uploaded file, compare names and addresses against your master sheet, confirm dates on rent agreements and registrations, check that each owner has training and ITRs, and preview the full application once more. This simple habit prevents most of the mistakes above.
We prepare all documents, formats and affidavits, file the application and handle queries until approval. See our MP PSARA license registration service, or review the full checklist of documents required for MP PSARA registration.
Frequently Asked Questions
Will a single query delay my PSARA license significantly?
A single query answered promptly and completely usually causes only a modest delay. The real problem is a query left unanswered or replied to partially, which leads to a second query. Check the portal regularly, respond point by point with clear documents, and re-submit the application without waiting.
Can I correct a document after submitting the application?
Corrections are generally made when the department raises a query and the file opens for your response. You cannot usually edit freely after submission. That is why a careful review before paying the fee is worth the effort, especially for names, addresses and validity dates.
Is it a mistake to apply for the whole state from the start?
Not necessarily. The entire-state slab costs Rs 25,000 against Rs 5,000 for one district, but it lets you take contracts anywhere in Madhya Pradesh. If you expect to bid for state-wide or multi-district work, it can be the more practical choice. Base the decision on your realistic plans.
What if my rent agreement expires during processing?
Renew or extend it promptly and keep the updated document ready, because the office is verified and its proof may be requested in a query. Ideally, ensure the agreement has comfortable validity before you file, so that it does not lapse during the usual 60 to 90 day processing period.
