Documents Required for PSARA License Registration in Madhya Pradesh
Quick answer: The documents required for PSARA license registration in MP fall into two groups: personal documents of the proprietor, partners, directors or chairman (photo, PAN, Aadhaar, three years of ITR, PSARA training certificate) and business documents of the agency (MP office proof, Gumasta, GST, EPF, ESIC, institute MoU, guard uniform and office photos, affidavits). Companies, firms and societies add their constitution documents.
Incomplete or inconsistent paperwork is the most common reason an MP PSARA application slows down. This article sets out the documents required for PSARA license registration in MP for each type of entity, using the same lists we work from when preparing files for clients. Use it as a checklist, then read the notes below the lists, which explain the items applicants most often get wrong.
How the document list is structured
Every list has two parts. The first covers the people behind the agency, whose antecedents and training are being checked. The second covers the agency as a business: its office, registrations, training arrangement, uniform and declarations. The entity type decides whose personal documents are needed and which constitution documents are added.

Notes on the items that cause most queries
Training certificate and MoU
Both must come from an institute registered with MP PSARA. A certificate from an unrelated course will not serve the purpose. Our PSARA training certificate service arranges this for proprietors, partners and directors.
Office proof and photographs
The rent agreement or ownership proof must be for an office in Madhya Pradesh, and it should match the address on Gumasta and GST. The outer photo should clearly show the banner with the agency name.
Guard photographs
The four-side photo means front, back, left and right views of a guard in full uniform, with the company logo and ID card visible. Generic stock images or partial uniforms are not suitable.
ITRs
Upload the acknowledgements of the last three years for each person. If someone has not filed returns, discuss it before applying rather than leaving the slot blank.
Affidavits
Affidavits such as Form 3 and Form 7 for proprietorships, or the affidavit of all directors for a company, must follow the prescribed format, be signed by the right person and be notarised on stamp paper. Drafting them from an old template found online is risky, because outdated wording often leads to a query.
Consistency check: Names, addresses and spellings should match across PAN, Aadhaar, registrations, rent agreement and affidavits. Small mismatches are easy to fix before filing and slow to fix after.
Official requirements are published through the official PSARA portal (psara.gov.in); we prepare all formats and affidavits as per the MP guideline as part of our registration service.
Frequently Asked Questions
What is the guard 4-side photo required for PSARA in MP?
It is a set of photographs of a guard in your agency's full uniform taken from the front, back, left and right, with the company logo and ID card clearly visible. It shows the department that your uniform and identification are actually in place. Use a real guard and the real uniform you will deploy.
I retired from the Army. Do I need any extra document?
Yes. If the proprietor, a director or the society chairman retired from the Army, a government job or a PSU, the government job retirement document is added to their personal documents. It supports your profile and antecedents, so keep a clear copy of the discharge or retirement papers ready.
My company is registered outside MP. What extra document is needed?
Other-state companies opening an MP office generally need the ESIC sub-code of the MP office, in addition to the standard list. If you already hold a PSARA license in another state, that license copy should also be submitted. You will still need an office in Madhya Pradesh with matching Gumasta and GST details.
Can a partner skip the PSARA training certificate if another partner has it?
No. For a partnership firm or LLP, the training certificate under PSARA is listed for all partners. Each partner should complete the training from an MP PSARA registered institute. Plan this early, because arranging training for several partners together takes coordination.
