PSARA Documents for Private Limited Company

Quick answer: PSARA documents for a private limited company in MP include each director's photo, PAN, Aadhaar, final education marksheet, 3 years' ITR and PSARA training certificate, plus company documents such as MP office proof, Gumasta, GST, EPF, ESIC, company PAN, incorporation certificate, MOA & AOA, MoU, guard and office photos, uniform cloth sample, logo embroidery and affidavits of all directors.

A private limited company is the most common structure for security agencies aiming at corporate and government contracts. The PSARA documents for a private limited company are the most extensive of all structures, because every director is verified and the company must show its constitution documents. An OPC generally follows a similar pattern. For other structures, see the documents required for MP PSARA registration overview.

Photo tips: guard 4-side photo and office banner

Photographs are the most common reason for queries on the portal, so treat them as documents, not formalities.

  • Guard 4-side photo: take four separate photos of one guard - front, back, left side and right side - in complete uniform. The company logo on the shirt and the ID card should be clearly visible in the front view.
  • Office outer photo: the banner or signboard must show the agency name exactly as written in the application. A banner with a short form or old name usually invites a query.
  • Office inner photo: show a working office - table, chairs, a computer or file rack. An empty room does not help the application.
  • Use good daylight, avoid heavy filters and keep files within the upload size limits of the official PSARA portal.

Affidavit of all directors

Each director gives an affidavit in the prescribed format, typically on stamp paper and notarised, covering declarations relevant to eligibility under the Private Security Agencies (Regulation) Act, 2005 on India Code. One combined affidavit for the board is not the same thing. We draft separate affidavits for each director with correct details so that they can be signed and notarised in one sitting.

Logo embroidery on cloth is specific to the company list. Get the logo embroidered on a small piece of the uniform fabric, matching what appears in the guard 4-side photo.

Common errors to avoid

  • MOA object clause not covering private security services.
  • A director appointed recently but not yet reflected in MCA records.
  • Affidavit missing for one director, or one joint affidavit used instead.
  • Company name on banner or ID card differing from the incorporation certificate.
  • Directors' ITRs incomplete for the last three years.
  • Logo embroidery or cloth sample not matching the uniform in the photos.

What we prepare for you

We review the MOA, MCA records and every director's papers, draft affidavits for all directors, prepare the demo ID card, and guide the guard 4-side photo, logo embroidery and office banner. We also arrange the MoU with a registered training institute and the PSARA training certificate for directors. Pending ESIC registration, EPF or GST are handled as add-ons. We then file, reply to queries and follow up through police verification.

Frequently Asked Questions

Do all directors have to undergo police verification for PSARA?

In MP, the Controller of PSARA issues a letter for police verification of all directors and the office. Each director should therefore keep current address proof and be available when the police contact them. Adding a director with a doubtful background can delay or endanger the whole application.

Can an OPC apply for an MP PSARA license?

Yes, a One Person Company is among the entities that can apply. Its document set is broadly similar to a private limited company, with the single director's personal documents and the OPC's incorporation certificate, MOA and AOA. We confirm the exact set at the time of filing based on current portal requirements.

What if the company's MOA does not mention security services?

An MOA without a security services object may attract a query, because the company should be authorised to carry on that business. The safer course is to alter the object clause through a board and shareholder resolution and file it with MCA before applying. We can handle the alteration as part of the engagement.

Is a labour license required for a company before applying?

The company list mentions the labour license only 'if available', so it is not a precondition for the PSARA application. A labour license may become relevant separately depending on deployment. Focus first on GST, EPF, ESIC and Gumasta, which are part of the core list.
