PSARA Documents for Society

Quick answer: PSARA documents for a society in MP include the chairman's photo, PAN, Aadhaar, 3 years' ITR and PSARA training certificate, plus the same organisation documents as a proprietorship - MP office proof, Gumasta, GST, EPF, ESIC, MoU, guard and office photos, Form 3 and Form 7 affidavits and supervisor Aadhaar - with society PAN, by-laws and list of members.

Some security services are run through registered societies, such as ex-servicemen welfare bodies. The PSARA documents for a society follow the proprietorship firm list, with the chairman's personal documents and three society-specific items added. Photo tips: guard 4-side photo and office banner

Photographs are the most common reason for queries on the portal, so treat them as documents, not formalities.

  • Guard 4-side photo: take four separate photos of one guard - front, back, left side and right side - in complete uniform. The company logo on the shirt and the ID card should be clearly visible in the front view.
  • Office outer photo: the banner or signboard must show the agency name exactly as written in the application. A banner with a short form or old name usually invites a query.
  • Office inner photo: show a working office - table, chairs, a computer or file rack. An empty room does not help the application.
  • Use good daylight, avoid heavy filters and keep files within the upload size limits of the official PSARA portal.

Form 3 and Form 7 affidavits

Because the society list follows the proprietorship list, Form 3 and Form 7 affidavits apply. They are executed by the chairman, or as authorised by the society, in the prescribed format, normally on stamp paper and notarised. It helps to have a society resolution authorising the chairman to apply and sign on its behalf. We draft both affidavits as per the MP PSARA guideline.

Common errors to avoid

  • By-laws that do not allow the society to carry on security services.
  • List of members outdated, unsigned or not matching the registrar's records.
  • Society PAN in a name slightly different from the registration certificate.
  • Chairman's training certificate from an institute not registered with MP PSARA.
  • No authority resolution for the chairman to sign affidavits and the application.
  • Office banner showing a short form of the society's name.

What we prepare for you

We review the by-laws and member list, prepare the authority resolution if needed, draft Form 3 and Form 7 affidavits, prepare the demo ID card, guide the guard 4-side photo and banner, and arrange the MoU with a registered training institute. Pending registrations such as EPF registration, ESIC or GST are handled as add-ons. We then file, reply to queries and follow up.

Frequently Asked Questions

Can a registered society get an MP PSARA license?

Yes, a society is among the entities that can apply. It needs an office in Madhya Pradesh, the chairman's personal documents including the PSARA training certificate, the organisation documents from the proprietorship list, and its PAN, by-laws and list of members. Its objects should permit providing security services.

Who signs the affidavits for a society's PSARA application?

Normally the chairman, or the office bearer authorised by the society, signs the Form 3 and Form 7 affidavits. A resolution of the governing body authorising that person is advisable. The signatory's name should match the chairman documents uploaded and the society's records.

Does the society need GST, EPF and ESIC registrations?

Yes. Since the society follows the proprietorship firm list, the GST Registration Certificate, EPF Registration Certificate and ESIC Registration Certificate are part of the documents. All of them should show the society's registered name and its MP office address, consistent with the Shop Act registration.

What if the society's by-laws do not mention security services?

The authority may raise a query if the by-laws do not allow the activity. Amending the by-laws through the society's procedure and getting the amendment recorded with the registrar before applying is the safer route. We can guide you on the amendment and then prepare the PSARA file.
