MP PSARA License: Documents Required for Identity and Address Verification
Quick answer: MP PSARA identity and address verification documents are mainly the photograph, PAN card and Aadhaar card of the proprietor, every partner or every director (or the chairman of a society), backed by ITRs of the last three years. Names, dates of birth and addresses must match across all documents because police verification is carried out on these same persons.
A PSARA license is granted to an entity, but the law looks closely at the people behind it. Section 6 of the Private Security Agencies (Regulation) Act, 2005 makes certain persons ineligible, so the Controlling Authority has to be sure who the proprietor, partners or directors are. This article focuses only on MP PSARA identity and address verification documents - which ones are needed, for whom, and how to avoid the mismatches that slow files down. For the full entity checklist, see documents required for MP PSARA registration.
Who has to be verified
The person-level documents are required from everyone who controls the agency. The table below shows who that is for each entity type.
| Entity | Persons whose identity documents are needed | Personal documents in the list |
|---|---|---|
| Proprietorship | Proprietor | Photo; PAN Card; Aadhaar Card; ITR of last 3 years; Training Certificate from MP PSARA registered Institute; Govt Job Retirement Document (if retired from Army/Govt job/PSU) |
| Partnership firm / LLP | All partners | Photo; PAN; Aadhaar; Marksheet of final education; ITR of last 3 years; Training Certificate under PSARA |
| Private limited company | All directors | Photo; PAN; Aadhaar; Marksheet of final education; ITR of last 3 years; Training Certificate under PSARA; Govt job retirement document (if applicable) |
| Society | Chairman | Photo; PAN; Aadhaar; ITR of last 3 years; Training Certificate from MP PSARA registered Institute; Govt Job Retirement Document (if applicable) |
In addition, the proprietorship and society lists ask for the Supervisor Aadhaar Card, since the supervisor is the person who will manage guards on the ground.
What each document proves
Photograph
A recent passport-size colour photograph with a plain background. It is used on the portal profile and helps the police match the person during verification. Use the same photograph style for all partners or directors so the file looks consistent.
PAN card
PAN is the anchor for the person's tax identity and links to the ITRs. The name on PAN is often the reference spelling that other documents are compared with.
Aadhaar card
Aadhaar provides the residential address and date of birth. Because police verification of antecedents is typically done through the police station covering the person's residence, an outdated Aadhaar address can send the verification to the wrong place.
ITR of the last three years
ITRs are not strictly identity documents, but they confirm that the person is an established taxpayer and match PAN details. Missing years are a common query point, so file pending returns before you apply where possible.
Marksheet of final education
Required for partners and directors. It supports the person's profile and date of birth. Make sure the name on the marksheet can be connected to PAN and Aadhaar.
The matching rule: one person, one identity
Most identity-related queries come from small inconsistencies. Run this check for every individual before you upload:
- Write the full name exactly as on PAN.
- Compare it with Aadhaar, the marksheet, the training certificate and the affidavit. Initials, missing middle names and different surname spellings should be noted.
- Compare date of birth across PAN, Aadhaar and the marksheet.
- Compare the residential address on Aadhaar with the address written in affidavits and the portal profile.
- Where a difference cannot be fixed quickly, prepare a short explanation or a supporting declaration in the prescribed manner rather than leaving it unexplained.
Watch out: The training certificate is issued in the name you gave the institute. If that spelling differs from PAN, ask the institute to correct it before you file. Our PSARA training certificate service handles this for proprietors, partners and directors.
Address verification: personal versus business
Applicants sometimes confuse two kinds of address verification. They are separate and both matter.
| Aspect | Personal address | Business (office) address |
|---|---|---|
| Whose | Proprietor, partners, directors, chairman | The agency's office in Madhya Pradesh |
| Main proof | Aadhaar card | Rent agreement, NOC or ownership document |
| Checked during | Character and antecedent verification | Office verification |
| Common problem | Aadhaar shows an old address | Agreement expired or address differs from GST/Gumasta |
Office proof is covered in detail in our guide to documents required for office address proof.
Applicants who live outside Madhya Pradesh
Partners or directors who reside in another state can be part of an MP agency, provided the agency has its business place in Madhya Pradesh. Their identity documents are submitted the same way, and police verification of their antecedents may involve the police of the state where they live. In practice this can add time, so it helps to start early and keep their Aadhaar address current.
Retired government or defence personnel
Many agency owners are retired from the Army, a government department or a PSU. If that applies, the Govt Job Retirement Document is part of the personal set. Keep the discharge book, pension order or retirement order ready, as applicable. It supports the person's background and is often viewed positively, but it does not replace the other documents.
Scanning and upload discipline
- Scan the original in colour; avoid photographing documents at an angle.
- Upload both sides of Aadhaar and any document with information on the back.
- Name files clearly, for example "Director1-PAN", so nothing is uploaded against the wrong person.
- Check that the file stays readable after reducing it to the portal size limit.
- Do not upload a masked Aadhaar unless the portal or authority specifically allows it for that field; follow the current portal instructions.
How verification happens after filing
Once the application is submitted on psara.gov.in, the Controller of PSARA, Madhya Pradesh issues a letter for police verification of the proprietor or all partners/directors and of the office. The police check identity and antecedents against the documents you submitted. If anything needs clarification, a query appears on the portal; you log in, reply and re-submit. Clean, matching identity documents are the simplest way to keep this stage short. The broader sequence is explained on our MP PSARA registration process page.
If you are unsure whether a name or address variation will cause trouble, send us the documents for review before filing; correcting it early is far quicker than answering a query later.
Frequently Asked Questions
Is Aadhaar alone enough for identity verification in an MP PSARA application?
No. The lists ask for a photograph, PAN and Aadhaar together, plus ITRs of the last three years and, for partners and directors, the marksheet of final education. Each document confirms a different part of the person's profile, and the Controlling Authority compares them with each other before and during police verification.
My name is spelt differently on PAN and Aadhaar. What should I do?
Ideally correct the document that is wrong before applying, because mismatches often trigger queries. If correction will take long, keep the correction request acknowledgment and prepare an explanatory declaration in the appropriate format. We review such cases and suggest the safest route depending on the extent of the difference.
Do sleeping partners or non-executive directors also need to submit identity documents?
The lists require documents of all partners and all directors, without distinguishing active and passive roles. Police verification is likewise of the proprietor or all partners/directors. If someone does not want to be verified, the entity structure itself may need to change before applying.
Does the supervisor need to submit PAN and ITRs like the owner?
For proprietorships and societies, the list asks for the Supervisor Aadhaar Card rather than the full personal set required from owners. Supervisors and guards must still meet the verification and training requirements applicable to them under the Act and rules once they are deployed.
