Common Documentation Errors in MP PSARA License Applications
Quick answer: The most common MP PSARA documentation errors are mismatched names or addresses across documents, expired rent agreements, missing ITRs or training certificates for one partner or director, disallowed words in the agency name, unsigned or undated affidavits, incomplete deeds and unreadable scans. Each usually leads to a portal query, and fixing them before filing saves weeks.
In our experience, very few PSARA applications are held up because the applicant is ineligible. Far more are held up by paperwork. A query on the portal means you must log in, reply and re-submit, and each round adds time on top of the police verification that the file already needs. This article collects the MP PSARA documentation errors we see most often, grouped so you can audit your own file quickly.
Category A: Identity and consistency errors
| Error | Why it causes trouble | Fix |
|---|---|---|
| 1. Name spelt differently on PAN, Aadhaar and training certificate | The reviewer cannot be sure the documents belong to the same person | Correct the source document, or attach a suitable explanatory declaration |
| 2. Aadhaar showing an old residential address | Antecedent verification may be routed to the wrong police station | Update Aadhaar before filing where feasible |
| 3. Date of birth mismatch between marksheet and PAN | Raises doubt about identity | Identify the correct record and align others |
The simplest prevention is a one-page data sheet per person, drawn from PAN, which every other document is checked against. We explain this in detail in our guide to identity and address verification documents.
Category B: Office and address errors
| Error | Why it causes trouble | Fix |
|---|---|---|
| 4. Rent agreement expired or about to expire | Right to occupy the office is not established | Execute a fresh agreement before filing |
| 5. GST or Gumasta showing a different address from the rent agreement | Suggests the office is not where the application says | Amend registrations so all show one address |
| 6. No owner NOC where property belongs to a relative or director | Link between owner and agency is missing | Obtain NOC with owner's ownership proof |
If amendments are needed, our GST registration and Gumasta registration services can update them quickly.
Category C: Missing items for one person
With multiple partners or directors, it is easy to have a complete set for three people and an incomplete set for the fourth. The usual gaps are:
- 7. ITR missing for one of the last three years - often a director who had no taxable income and did not file. File the pending returns where permissible before applying.
- 8. Training certificate missing for one partner or director - the list requires training under PSARA for all partners and directors, not just the managing one.
- Marksheet of final education not uploaded for a partner or director.
Check: Make a grid with persons as rows and required documents as columns. Any empty cell is a query waiting to happen.
Category D: Name-related errors
9. Using a disallowed word. Since 2022 the words DETECTIVE, INVESTIGATION, SURVEILLANCE, INTELLIGENCE, INTERROGATION, FACILITY and LABOUR SUPPLIER are not allowed in the agency name in MP. Applicants who registered their company years ago with such a word must change the name before applying, and then update GST, Gumasta, EPF, ESIC and PAN records to match.
Duplicate name. If the same name already exists on the PSARA portal, it must be changed. Checking this first, before any registrations or printing, avoids a costly redo.
Name variations on uniform and banner. The banner, logo, ID card and uniform should carry the same agency name as the application, not a short form or an older brand.
Category E: Affidavit and declaration errors
- 10. Affidavits unsigned, undated or not notarised where notarisation is required.
- Using an outdated format instead of the one currently followed under the MP PSARA guideline.
- Different dates on affidavits of different partners or directors, sometimes months apart.
- Agency name or office address in the affidavit not matching the portal entry.
Proprietorships need the Form 3 and Form 7 affidavits; private limited companies need affidavits of all directors. Our guide on preparing partner declarations covers the drafting method.
Category F: Entity document errors
- 11. Incomplete partnership deed, LLP agreement or MOA/AOA - only the first and last pages uploaded.
- Deed not updated after a partner joined or retired, so the partners on the portal do not match the deed.
- Certificate of Incorporation missing for an LLP or company.
- PAN of firm or company not uploaded.
Category G: Scan and upload errors
12. Unreadable documents. Over-compressed PDFs, blurred photos, cropped seals and sideways pages are common. Also watch for documents uploaded against the wrong field - a director's Aadhaar in the PAN field, or the inner office photo in place of the outer one.
How errors affect the timeline
Processing time in MP has no fixed statutory limit. Queries and replies are handled on the official PSARA portal, and in practice it is commonly about 60-90 days, mainly depending on police verification and query replies. A documentation error does not necessarily lead to rejection, but each query adds a cycle of reply and re-review. When a query does arrive, answer it completely the first time, with corrected documents rather than explanations alone where possible.
A 15-minute self-audit
- Compare the agency name across all documents.
- Compare the office address across all documents.
- Complete the person-by-document grid.
- Open every affidavit and check signature, date and notary.
- Open every multi-page document and count pages.
- Zoom into every scan at 100%.
If you would rather have experienced eyes on the file, our MP PSARA license registration team reviews, corrects and prepares every document before filing and handles any query that follows.
Frequently Asked Questions
Will a documentation error lead to rejection of my MP PSARA application?
Usually a documentation error first results in a query on the portal, giving you a chance to reply and re-submit. Rejection is more likely where the applicant is ineligible or repeatedly fails to provide what is asked. Still, every query adds time, so correcting errors before filing is the better approach.
How long do I get to reply to a PSARA query?
The time allowed can depend on the query and current practice of the Controlling Authority. Treat every query as urgent: log in, read it carefully, gather the corrected documents and reply as soon as possible. Delayed replies are one of the main reasons applications stay pending for long.
Can I fix a wrong document after submitting the application?
Generally you cannot freely edit a submitted application, but if the authority raises a query you can respond with corrected documents. If you discover an error yourself before a query, consult us; depending on the situation, the correction may be offered when the next query or verification step arises.
My company name has the word Facility in it. Can I still apply?
Since 2022 the word FACILITY is among the words not allowed in agency names in MP. You would need to change the company name through the registrar first, then update GST, PAN, Gumasta, EPF and ESIC records to the new name before applying for the PSARA license.
